Sometimes, we can be our own worst enemy.
Everybody makes mistakes, we’re human after all. And a simple little mistake can cause big problems. Have you ever deleted a GoldMine contact by accident? Then all the years of emails and history linked to that contact are gone. Yes, the data can be restored from a backup. (Let’s hope that is happening, too) But the restore requires downtime and usually involves hiring an IT person or database consultant to get it done.
And what about mass-updates to your GoldMine database? Global replace, territory realignment, merge/purge records, sync with Outlook, etc… These powerful tools used incorrectly can create a mess! Time to restore from backup again.
The good news is there’s an easy way to prevent these problems from happening in the first place. But you have to do more than just take away “master rights”. GoldMine users’ accounts should be configured to deny access to these potentially dangerous features. Take away the user’s access to delete records. Remove the access to global replace, and other database management tools. A user profile or template can be setup that will make these settings easier to apply to other users.
Now, sometimes you may have to access one of these “dangerous” features. You can create a special user account that you solely use for these purposes, and keep the password to that account safe!
We at First Direct can help you evaluate your GoldMine user’s accounts and help configure settings to provide the best protection possible from these accidents and mishaps. Contact us to setup an appointment with one of our technicians today!
