How To Turn Off The HTML Coding In All Notes

Posted on 08 March 2010 by Bob Ritter

In  GoldMine if you attempt to print a GoldMine  report with Notes in it you may run into an issue where  all of the HTML coding that was used when creating the note is displayed.  To turn off the HTML formatting in all Notes, place the following entry in the [GoldMine] section of your GM.INI file.

”HTML_CAL_Notes=0”

NOTE: The GM.ini file can be found in your GoldMine Directory, ie;  G:\GoldMine or C:\Program Files\GoldMine

If you are not sure of your path, in GoldMine go to Help >> About GoldMine >> and then click on System.  The System Files path will tell you the root directory for GoldMine.

Have you ever had the need to go back to a record you were previously on, but can't remember who the contact or company was? In all versions of GoldMine, you can hold down the Shift Key and hit the Page Down key to scroll through the last five contacts that you previously visited.

In GoldMine Premium there is a 'Recently Viewed' contacts window that will display the last 20 or so contacts that you visited. You can change the number of recently viewed contacts that are displayed.

GoldMine Error Message: Waiting for Permission to Log In

Posted on 05 March 2010 by Bob Ritter

Symptom: GoldMine does not let anyone login. Gives message "waiting for permission to log in"

Cause: GoldMine license file has been renamed.

Reason: Administrator may have reason for not allowing users to login. If you are the administrator and your system suddenly went into this mode, it means that your database maintenance crashed in the middle of the operation. You will need to follow the following steps to correct the problem.

1. Ensure that all GM files are closed (shut down OmniRush DBIO, GoldSync, etc.)
2. Browse to the root goldmine directory and find the file named license.dbx or license.dbu
3. Rename this file to license.dbf
4. Backup your goldmine directory to a backup location. (copy it)
5. Login to GoldMine as a MASTER user.
6. Perform a database maintenance

If your system crashes again, you may have low disk space or a serious database corruption which can't be fixed with maintenance. Free up disk space or contact First Direct Corp for further assistance.

GoldMine Error Message: A referral was returned from the server

Posted on 05 March 2010 by Bob Ritter

Recently, many GoldMine users have been encountering a problem, when they double-click the GoldMine shortcut, they’re presented with the error: “A referral was returned from the server.”

After the error, GoldMine does not start.

What’s going on is that every GoldMine version has a digital signature and the one used with GoldMine 8.0.x expired in early December, 2009. That means that the windows User Account Control (UAC) feature will not allow it to run.

UAC is a feature that is built into Windows Vista, Server 2008 and Windows 7. You know it as that annoying feature that produces a constant stream of messages along the lines of, “Hey, it looks like you are trying to double-click an icon. Did you know that icons could run terrible viruses? Please click OK to confirm you want to run the thing you double-clicked!”

A lot of people have simply turned UAC off, but those who have not are now finding themselves unable to run GoldMine. There are two possible solutions 1.Turn off UAC like the rest of us. Of course, if you haven’t done that by now, you probably have a very good reason (like you use Quickbooks, which requires it) or you enjoy the implied additional security features. 2.Patch to version 8.5.x of GoldMine (free to customers current on their Frontrange Maintenance) and enjoy the many fixes and new features introduced therein (including a new digital certificate.)

Credit should be given to Doug Castell of Castell Computers for documenting this error.

Invalid BLOB Handle In Record Buffer

Posted on 05 March 2010 by Bob Ritter

GoldMine generates an  ‘Invalid BLOB handle in record buffer’ when you are working in GoldMine. Typically this happens when you’re looking at  the History Tab, Pending Tab, or  Activities List.

This is because these areas of GoldMine have more items being viewed with notes than can be handled by your Borland Database Engine for the number of notes fields to cache in memory. You simply need to increase the BLOBS TO CACHE settings in BDE.

To change this setting, open the BDE Administrator and locate your GoldMine database alias.  Increase the BLOBS TO CACHE setting to 1024.

You can access the BDE from the Control Panel or via GoldMines menu.

If you need further assistance contact First Direct Corp directly at (800) 935-4386.

Insufficient Memory for This Operation

Posted on 05 March 2010 by Bob Ritter

Sometimes it may take a few seconds for the GoldMine login screen to show up after first clicking on the GoldMine icon to launch the program.  We can get a tad impatient and double-click the GoldMine icon again, and again, and again, thinking it will launch even faster.  Well it doesn't help at all!!

GoldMine eventually generates an error, “Insufficient Memory for This Operation” and GoldMine fails to run.

Solution: Run windows task manager (Right click on Windows taskbar and select task manager) then click on the processes tab and end-task on all instances of gmw6.exe running. These will show up under the Image Name column. T0 make it easier click on Image Name and it will sort the processes alphabetically.

Importing Contacts into GoldMine (dBase) via Excel 2007

Posted on 05 March 2010 by Jay Dymond

There are three stages to follow when importing records into GoldMine from an Excel 2007 data source. The first is the preparation of the data in Excel, the second involves importing the Excel 2007 data into Access 2007 for conversion to a dBase IV file format and the third step involves using the import feature of GoldMine. This guide should outline the key steps and help you understand the process.

Please Note: GoldMine can import from other file formats besides dBase IV, however dBase IV is by far the best format to use

1. Preparing the Data

GoldMine can’t directly import records from an Excel spreadsheet; it must be saved as a Dbase IV file format.    Follow the steps below to prepare the data prior to import into GoldMine.

1. Load the source data into Excel.

2. Change the field labels to match GoldMines field name that the column data will be imported into. Remove any underscores or spaces in the labels. Add labels if there are none and no label should begin with a number. This will save time and makes things simpler later on.  Below is a listing of the standard fields GoldMine allows data to be imported into.

3. Select Save As from the file menu. Specify a name for the file and change the file type on the ‘save as type’ to CSV  (Comma delimited) (*.csv)

4. When this box appears click Yes.

5. Close the Excel 2007 file.

2. Importing the CSV File into Access 2007 for Export to dBase IV

1. Open Access 2007

2. Create a New Blank Database

3. Import the .CSV file we just created in Excel into the Blank Access 2007 database. Click on External Data >> Text File >>

4. Next browse for the .csv file that we created in Excel

5. Choose the default settings on the Import  and hit OK.

6. Access will detect that your file is a Delimited text file.  Click on Next

7. The next screen will show you what your Delimited file looks like. You'''ll notice that if your data has comma's in it that the data in the columns will not be correct. We need to change the settings. Click on the Advanced button in the lower left hand corner.

8. We need to modify the Text Qualifer  to be " and the Field Delimiter should be , Then click on OK.

9.  Your preview should now have the data in the correct columns.  Check the box that says the First Row Contains Field Names. If the preview looks correct click on Next.

10. On the next screen you have the option of specifying informaton about each of the fields that we are importing.
All the columns should be text, and the Field Name should be already set correctly because we checked the box First Row Contains Field Names from the previous screen.  Click on Next.

11. On the next screen you can specify the Table name to import the data into.  Give it a name and then hit Finish.

12. Your data should now be in an Access Database and look like the following:

13. Next we need to Export the data out of the Access Database into a dBase IV file format. To do this click on External Data >> Under the Export Ribbon click on More and then dBase File.

14. Next we need to specify where we want to save the exported data to.  Also be sure to Specify dBASE IV from the File format drop down window.

3. Importing the Data into GoldMine

The final stage is to use GoldMine’s Import Wizard to import the data into the database. The wizard will import the data into the currently opened database; therefore ensure you have opened the correct database before beginning the import. Because you will be  making changes to your data it is very IMPORTANT that you backup your data before the import. First Direct Corp. cannot be held responsible for loss of data.

1. Select Tools >> Import/Export Wizard >> Import Contact Records… from the  menu in GoldMine, ensure that you have open the correct database that you want to import into!  Click on Next.

2. Select ‘Import a new file’ and select the file format as ‘DBF file dBASE data files’, Click on Next.

3. Specify the location of the dbase file that we just saved, click on the ‘…’ button on the far right to browse for the file, the file must not be open anywhere else otherwise GoldMine will generate an error, Click on Next.

4. The next screen previews the data that you are about to import, click on Next.

5. You now have to map the fields from the data source to the fields in GoldMine. The fields from the data source are displayed on the left hand-side, under ‘Import Fields’.
Because your field names were changed in the source to match those of GoldMine’s you can double click on the fields on the left hand side. This will automatically match the fields with GoldMine’s on the right. The field will appear under the ‘expression’ column on the right-hand side as seen in the example with the address1 field.

6. Selecting a mapped field such as address1 and clicking on properties allows further options to format the data, for example selecting ‘convert to proper case’ will capitalise only the first letter of each separate word. It is also possible to apply Dbase expressions to further qualify the data.

7. If you want to save the settings that you have just made for the import click on ‘Yes’ and then enter a profile name, you will be able to use the same mappings again without having to configure them. To use this profile you would select ‘Import a new file using an existing profile’ on the first page of the import wizard (step 2).

8. Once you are happy with everything click on Finish to begin the import. The records will then be added to the  current database, although it is not strictly necessary it is advisable to perform a pack and rebuild of the database after import has completed.

Note: If you watch the Process Monitor in GoldMine, you will see the progress of the import.

Importing Contacts into Goldmine via Excel 2000-2003

Posted on 03 March 2010 by Bob Ritter

 Introduction

There are two stages to follow when importing records into GoldMine from an Excel data source. The first is the preparation of the data in Excel, and the second is the using the import feature of GoldMine. This guide should outline the key steps and help you understand the process.

Please note:  Excel 2007 users will not have the ability to save to dBase and therefore this article is not relavant to you. Please stay tuned for a new article coming soon on how to import from Excel 2007 into GoldMine.

1. Preparing the Data

GoldMine can’t directly import records from an Excel spreadsheet; it must be saved as a Dbase IV format. Follow the steps below to prepare the data prior to import into GoldMine.

1. Load the source data into Excel.

2. Change the field labels to match GoldMines field names that the column data will be imported into. Remove any underscores or spaces in the labels. Add labels if there are none and no label should begin with a number. This will save time and makes things simpler later on.  Below is a listing of the standard fields GoldMine allows data to be imported into.

3. Click on the top-left corner of the worksheet as shown in the image below to hilight the entire worksheet.

4. All the data in the each field needs to be displayed, before saving as a Dbase file. After following step 3, select  Format >> Column >> AutoFit Selection as shown. This will automatically adjust the column widths to display the cells entire contents. It is crucial that this is done or the data will be truncated.

5. You will notice that in the example the entire company name is now visible. Before saving, select only the area of data that needs to be imported. In the example the area of the data is hi-lighted before the import. This is another crucial step of data preparation, failure to select only the columns  and rows that you want to import will cause the import to try to import empty records into the database.

6. Select Save As from the file menu. Specify a name for the file and change the file type on the ‘save as type’ to DBF 4 (dbase IV)

7. When this box appears click OK. This explains that the Dbase file format only supports one data sheet, so it is important to select save on the correct worksheet.

8. Click on Yes when this prompt appears. Finally close any Excel worksheets. Excel will prompt you to save the DBF file again, select No.

2. Importing the Data
